NORMATIVE

The Organisation reserves the right to alter the opening and closing times due to force majeure or others, and the exhibitors will have no compensation right. Each exhibitor may have access to his stand one hour before the opening time and must stay there until half an hour after the closing time. Due to security reasons, it is strongly recommended not to leave the site until all the visitors have gone. Withdrawal of products or hand articles is not allowed before the exhibition is closed and all exhibitors are advised to stay there until the closing time in order to put their products away. Conxemar is not liable for any damages as a consequence of a fortuitous event or force majeure, as well as those stemmed from the delay in the construction work in the exhibition site on the part of IFEVI or any other involved. No admission to under-18s during setting-up, exhibition and dismantling.

1. REGISTRATION

The exhibitors must fill in the Registration form indicating the space requested, and send it to the Organisation. Registration will be valid once the signed registration form is received by fax, e-mail or post together with a copy of the bank transfer or the original cheque. Failure to pay any liabilities from this contract will enable Conxemar to solve this and make use of the hired space.

Payment terms:

1- 50% + 7% VAT before March 31st, 2005
2- 50% + 7% VAT before June 30th, 2005

2. ALTERATIONS AND CANCELLATIONS

The exhibitor is not allowed to give over the occupation right of the stand nor allow the promotion of other companies’ merchandises without a written authorisation by the Exhibition Manager. Failure to comply with this norm may cause the closure of the stand. The exhibitor will have no right of refund in case he wishes to cancel or reduce the space requested on the registration form or in case he incurs in what states the previous paragraph.

3. HIRING OF SERVICES

Services such as electricity, phone lines, water… must be hired through the services file. The deadline is July 31st, 2005. After this date, the organization is not committed to render the services requested.

ALL SERVICES HIRED AFTER JULY 31ST, 2005 WILL HAVE A SURCHARGE OF 50%.

4. ACCREDITATION CARDS

Each exhibitor has the right to receive 5 free accreditation cards per stand up to 16m2. In the case of bigger areas, the exhibitor will have the right to receive one card per each extra 5m2, requesting the list of people through the services file.

5. COMPLIMENTARY TICKETS

The Organisation puts 10 free complimentary tickets per each m2 at the exhibitors’ disposal. In case they need more, further complimentary tickets are available at 1.20¤/each. The price of window tickets will be 6¤/each. It is essential to fill in all the details on the complimentary ticket in order to request the accreditation to gain access to the exhibition site.

6. EXHIBITORS CATALOGUE

All the exhibitors having filled in the exhibitors form, as well as the represented companies and their products will be included in the Official Exhibitors Catalogue. Each exhibitor will receive a free copy.

7. INSURANCES

The Organisation is liable for public liability insurances including material damage and physical injury to the accredited exhibitors and visitors. The insurances are limited to 3,000,000 euros and 150,000 euros per casualty, with a 300-euro excess. The coverage includes operating, legal defence and bails.

The exhibitor is liable for the other insurances that may be contracted according to prices and terms detailed in the services pages enclosed. Their coverage include fire, explosion, lightning, extensive risks, replacement expenses, extinguishing expenses, robbery and water damage.

8. CLEANING

The Organisation will be in charge of the general cleaning of the site (corridors, wastepaper bins, ashtrays...). Complete cleaning of stand according to price list enclosed.

9. SETTING-UP

When confirming his registration, the exhibitor must find out about the special terms of the space to be occupied concerning construction norms and may ask the Organisation for a scale plan of the space.

1. The following documents are essential to start setting-up:

  • Approval of design
  • Plan of labour risks
  • TC2 of workers

Once the documents are handed in, the setting-up personnel will be accredited after being registered at the Exhibitor’s office.

The Organisation reserves the right to stop any activity if those documents are lacking

2. No setting-up company may gain access to the site if the setting-up rate -2.30 ¤/m2 + VAT- has not been paid to IFEVI (for further information please contact IFEVI: 00 34 986 486 144).

3. Setting-up and dismantling dates:

Setting-up: from September 27th through October 3rd (from 8:00 to 20:00hs: as an exception, setting-up hours on October 3rd may be extended upon request at the Organisation’s office but only until 3:00 on October 4th).

Dismantling: from October 6th through 9th. (October 6th from 18:00 to 0:00hs and October 7th, 8th and 9th from 8:00 to 20:00hs)

THE SETTING-UP COMPANIES IN NEED OF ELECTRICITY SUPPLY FROM SEPTEMBER 27TH THROUGH OCTOBER 3RD MUST HIRE THE CONNECTION SERVICE IN THE SERVICES FILE.

Cutting machines, sanders or other equipment that may cause dust or that are not equipped with anti-pollution systems are not allowed inside the pavilions. Gun-painting is not allowed. Fixing flooring (fitted carpets or others) with glues is not allowed. The exhibitor is responsible for the withdrawal of setting-up and dismantling debris. Sticking, nailing, stapling or other kind of fixing that may cause damage on the site walls, pillars or floor are not allowed. No entry of vehicles to the pavilions without previous authorisation by the Organisation.

10. ENTRY OF MERCHANDISES

In order to enter any machine or furniture, a form provided by the Organisation’s office must be filled in.
The merchandises coming from the EU may be directly sent to CONXEMAR- IFEVI (Avda. do Aeroporto, 772 (Cotogrande) 36318-PONTEVEDRA), together with the necessary transport documents. EU merchandises will be brought into the exhibition through:

A/ ATA card
B/ Pro-forma invoice

Only loads with ATA card may be sent directly to CONXEMAR-IFEVI, the others (groups) must go through customs formalities at the arrival terminals (truck and plane).

11. WITHDRAWAL OF MERCHANDISES

Withdrawal of merchandises by hand is not allowed until 18:00hs of the exhibition closing date (October 6th, 2005). In order to withdraw the merchandises it is necessary the authorization by the Organisation’s office, the form being sealed by the Exhibition’s Cash and Banks Department.

IN CASE THERE IS ANY PENDING PAYMENT THE SAID AUTHORISATION WILL BE REFUSED.

Non-community merchandises must go through customs formalities.

12. DESIGN

1. In order to build a free-design stand, all exhibitors must hand in the plans (side view and contour map) that must be approved by the Organisation. Deadline is June 30th, 2005 (even for those repeating design of previous editions). Two-floor stands must be designed by a competent technician and approved by the respective professional association, including project design and construction supervision. The number of square metres built on the second floor must also be stated.

The designs handed in after deadline will be penalised with 150 euros as delay.

2. Conxemar will grant in 30 days the permission for building the stand, provided the design complies with the guidelines. Otherwise, the Organization will inform the exhibitor in writing about the changes he must make in the initial design for this to be approved. The setting-up permission will not be granted until the design completely complies with the guidelines.

13. HEIGHT

The stand height must not exceed 3.5 metres maximum (including flooring). However, height may be increased up to 6 metres maximum, including all advertising items upon approval of the stand design by the Organisation.
Constructions exceeding 3.5 metres will imply payment of height rate IFEVI -164 ¤ (+ VAT) - to Conxemar. Any construction or advertising item higher than 3.5 metres must be 1 metre back from the frontage line in any of the streets, excepting for the walls of the second floor that must be 1 metre back from the frontage of the first floor. Any item hanging from the ceiling frame or not must comply with the guidelines concerning the site height. Advertising objects hanging from the site frame must be placed at 6-metre high maximum from the floor and 1 metre back from the frontage line in any of the streets. It is essential to have a special authorization and the advertising rate must be paid to IFEVI (phone nr: +34 986 486144). Light truss with no advertising may be placed at the frontage line provided this not exceed the 6-metre height allowed.

14. WALLS AND CLOSINGS

Party walls must be properly conditioned (with panels, for instance), and with no advertising on the side looking to the neighbour stand. Party walls exceeding the wall of the neighbour stand must be conditioned in such a way that they cause no damage to the image of the neighbour stand (the exceeding part must be in neutral colours and with no advertising). The building materials of the stands and the decorative accessories (fabrics, carpets, papers, etc.) must be fireproof. Inflammable materials must be covered with fire protections. At least 1/3 of the stand frontage facing general corridors must be glazed (transparent) or open.

15. WEIGHT

Maximum floor load allowed is 2,000Kg/sqm.

16. CORRIDORS AND ACCESSES

During setting-up and exhibition, corridors must be free of setting-up materials, merchandises, packing, etc. The space for placing fire devices, alarms, emergency exits and service corridors must be respected and the access must be kept always free.

17. ELECTRICITY

The requested electricity will only work during the exhibition hours.

Any stand in need of round-the-clock electricity must install a 24H CONNECTION according to the prices stated in the catalogue of services.

18. ELECTRICAL INSTALLATION

Electrical installation must be accomplished by an official installation engineer authorised by the Organisation’s technical services, according to the general regulations concerning Safety of low-tension electricity. Only the Organisation’s technical services are competent to take care of the connection to the electricity mains of the pavilions, and they will verify that the installations have the Electricity official form (this service must be hired on page nr 67 of the catalogue of services)

In case the electrical installation is not appropriate, the Organisation reserves the right to not supply electricity to the stand.

General rules for electrical installation

Any installation will be accomplished as demanded by the Low-tension electro technical regulations (Royal Decree 842/2002, on August 2nd), and the Complementary technical instructions. The installations to be supervised are the shunting to the switchboard of the stand and the electrical installation of same.

The exhibitor is not allowed to modify the electrical installation of the stand; he will just connect his receivers to the power points placed for this purpose by the installation engineer. The exhibitor, his contractors and/or subcontractors will be liable for any damage due to changes in the electrical installation or a wrongful use of it.

Legalization, supervision and authorisation of electrical installations

In the case of stands where the power to supply is less than 50 kW, it will be essential to hand in a Certificate of low-tension electrical installation, together with a Technical report on design -according to ITC-BT-04, point 4-, sealed by a competent body of the Galician government (Xunta de Galicia). In the case of stands where the power to supply is 50 kW or more, it is essential to hand in the design approved by the Engineers’ official association of the place it comes from –according to ITC-BT-04, point 3.1- together with a Certificate of low-tension electrical installation, sealed by a competent body of the Galician government (Xunta de Galicia).

19. WATER

All inside water supplies will be controlled by the Organisation’s technical services. The Organisation will not be responsible for the services rendered by the public water supplier.

20. SAFETY

Conxemar a guarantees general surveillance services during the time for setting up, activity and dismantling of the Exhibition. EXHIBITORS ARE RESPONSIBLE FOR T AKING CARE OF THEIR MATERIALS AND MAY REQUEST A COMPLEMENTARY INSURANCE FOR PARTICIPATING IN THE EXHIBITION. Those wishing to step up security on the stand may only contract personnel via the company serving Conxemar. All guards must wear a uniform. Entrance and movement within the Conxemar enclosure is allowed when wearing a personal identification card, which must be clearly visible, as issued by the Organisation Office. DURING PERIODS FOR SETTING UP, EXHIBITION ACTIVITY AND DISMANTLING, THE PRESENCE OF THE EXHIBITORS ON THEIR STANDS IS SUGGESTED. On the first day for dismantling (day 6 from 18:00 to 0:00 hr.), exhibitors must be present on their stands from 18:00 hr. until all their materials have been removed. In order to step up security measures, exhibitors must comply with the following regulations:

- BE PRESENT ON THEIR STAND DURING EXHIBITION ACTIVITY
- WEAR PERSONAL IDENTIFICATION CARD WHICH IS TO BE CLEARLY VISIBLE
- LIST OF EQUIPMENT AND COMPLEMENTS WHICH THE EXHIBITOR CONSIDERS TO BE ESSENTIAL, ON THE GOODS ACCESS FORM.

21. OCCUPATIONAL HAZARDS, VIGO EXHIBITION INSTITUTE

22. PARKING VEHICLES

Vehicles are not allowed to park in the loading and unloading areas.

23. NOISE

Demonstrations of noisy machinery or other products at the exhibition must be kept to a minimum out of respect for nearby stands. AUDIOVISUAL TRANSMISSIONS SHALL BE CONDUCTED WITH THE MINIMUM SOUND and equipment must be placed to allow visitors to access the stand if they wish to see them.

24. FUMES AND GAS

Any gas or fumes issued by equipment at the exhibition which may be harmful to the health and which may cause any other damage, should be discharged through the appropriate piping. Fitting of said piping shall require the authorisation of the Organisation’s Technical Service.

25. PUBLICITY

Publicity (static or dynamic) is not permitted outside the stands nor in any part of the enclosure. Direct sale to the public is forbidden.

26. MEALS

Meals services will be available at the Exhibition for those attending; restaurant, self-service and cafeteria.

27. HOTELS AND CAR HIRE

The Organisation provides the following information on lodgings in the city of Vigo and surroundings as well as on hire cars with a driver and “self-drive”.
